Q: Does Facts On File provide a free trial period?

A: Facts On File provides 14-day trials to schools, libraries, educational institutions, and select government organizations around the world. To sign up for a free trial, please visit http://www.fofweb.com/Trial. If your organization does not fit the above criteria, please call 1-800-322-8755, or email onlinesales@factsonfile.com explaining the nature of your interest in our online products. Q: How do I send a Purchase Order for a subscription?

A: You may mail in your Purchase Orders. We do ask, however, that you attach documentation such as a price quote email or a renewal reminder email to the Purchase Order so that our sales and accounts receivable teams know which database order(s) to process. Please feel free to use the invoice that you receive to requisition a Purchase Order at your institution. For renewals, you may send a Purchase Order for your subscription at any point prior to the official renewal date, or up to 30 days after receiving an invoice. Please make sure that the Purchase Order reflects the cost of the upcoming subscription year. If we receive a Purchase Order prior to the subscription renewal date, we will process the order and extend your institution’s access immediately. Q: How do I obtain an electronic or faxed copy of an invoice??

A: Just let us know you need one. If your institution has a direct subscription (i.e., if you purchase through Facts On File and not through a consortium or central purchasing group), you may receive an electronic or faxed version of the invoice by emailing your sales representative and sending us the details of your request. Alternatively, contact us at 1-800-322-8755 and choose option 1 for customer service. Institutions located outside of the U.S. should call 1-212-896-4268. If you subscribe through a consortium or network or are located in Canada or Australia, please contact the appropriate billing administrator.

Q: Will you remind me when my subscription is about to expire?

A: All U.S. customers will be notified four times and in various ways. For your convenience, we will send you email and mail notifications about upcoming renewals. The emails will be sent six months, 60 days, and 30 days in advance of the official renewal date and will include a price quote (unless you purchase through a consortium or central purchasing group). We will also send a letter by mail four months in advance of the official renewal date. It, too, will include a price quote. If you purchase through a consortium or central purchasing group, we will communicate with your group administrator and make sure that you are notified in advance of any upcoming renewals. Q: How do I renew a subscription?

A: On the official expiration date, we will ensure that our U.S. customers have continuous, uninterrupted access to their subscription(s) by extending their access for a new term, and we will immediately notify administrators of the renewal by email. Be assured, none of your subscriptions will be renewed until a subscription term actually expires. Your subscription will be renewed on the same day that the current subscription term expires. The renewal confirmation email will include your subscription’s new expiration date, as well as your institution’s access credentials and Facts On File’s sales and customer support contact information. Should you need to change the subscription start or end dates, we will be more than happy to work with you and modify the term. Institutions located outside the U.S. should simply call 1-212-896-4268.

Q: How will I know the renewal cost of my subscription?

A: Our direct subscribers in the U.S. will receive a renewal price quote in three renewal reminder emails that are sent six months, 60 days, and 30 days prior to the expiration date, as well in a letter sent by mail four months in advance of the expiration date. Please feel free to obtain a price quote directly from our Online Sales Team by contacting us at

Q: How do I decline the renewal of a subscription?

A: U.S. subscribers can decide to decline the renewal of a new subscription term at any point prior to its expiration date. To decline the renewal of a subscription, simply reply to any of the numerous renewal reminders that you receive, stating that you would like to decline the renewal of your subscription, or contact us at
onlinesales@factsonfile.com or 1-800-322-8755. Please specify the name of the database subscription(s) you wish to cancel. We will make sure that you continue to have access to those database(s) until the expiration of your current subscription term. Q: What if I forget to decline the renewal of a subscription before the official renewal date?

A: We value our subscribers and wish to be as flexible as possible. We ask to receive renewal decline request from U.S. subscribers within 30 days following the official renewal date of your subscription. After this 30-day period, your usage will be evaluated and your institution may be charged a prorated amount that reflects the period of time that your institution has been granted access to the database service since the renewal date. This does not apply to international subscribers. Institutions located outside the U.S. should simply call 1-212-896-4268.

Q: Will I be able to receive a credit for a subscription whose renewal I did not decline prior to an invoice being generated?

A: Yes, if we receive your renewal decline request within 30 days of the official renewal date, we will cancel the invoice for the renewal.

A: You can receive an invoice at any point simply by contacting us with your request. If we don’t hear from U.S. subscribers, an invoice will be sent by mail to the billing contact on file about one week prior to the official subscription renewal date. Q: How do we retrieve subscription usage statistics?

Q: How often are Facts On File's online databases updated?

A: All of our online products are updated on a regular basis to ensure their integrity. Notifications that highlight recent changes to our News Services databases are sent to customers on a monthly basis. As soon as updates become available in our reference databases, customers are notified by email. The updates include detailed information about new content as well as other enhancements to the databases. Q: How do I cite Facts On File as an online resource?

A: Users can find citations, citation examples, or "How to Cite" links by scrolling to the bottom of the records in most of our databases. In many cases, record citations in our 13 reference databases have been updated to reflect the style of the current edition of The Chicago Manual of Style, with the inclusion of record URLs and access dates. Many of the reference databases include a "How to Cite" link at the bottom of the page that explains how to use citations and also provides examples of the Modern Language Association (MLA) and American Psychological Association (APA) citation styles. Our four News Services databases provide users with MLA and APA citation information.

Q: What are persistent links?

A: A persistent link is a helpful feature that users can find by scrolling to the bottom of the records. The "Record URL" is a persistent link, or a link that will consistently point to the same record. This is a powerful tool, available in many of our databases, that allows faculty to direct students to specific entries and records, and in some cases Learning Centers or Subject Gateway Pages, for class or homework assignments. The links can also be used to electronically share information with others.

Q: What is the purpose of the tabbed search results page?

A: Search results are listed within tabs and categorized by record type in many of our databases for easier use. You can access tabs at either the top of the search results page, or at the top of record pages by clicking on which tab you would like to view. The search result records are categorized within these tab labels and are listed by relevancy for a more convenient, relevant, and focused search result.

A: Facts On File’s cross-search tools allows users that subscribe to two or more Facts On File History or News Services databases to search one, or several databases simultaneously. This allows users to harness the ability to maximize two or more search results in a timely fashion instead of conducting a search separately in each database.

Q: How can I find the cross-search tools in the Facts On File databases? (Relevant only to subscribers to two or more reference history or News Services databases)

A: A History Database Search link is available on each history database's home page and is displayed as a "Search Other Databases" link. This link remains visible on each page throughout the database and can be found at the far right of the tool bar below the Search field. This tool allows users to search across all or several of our six history databases at the same time.

With the redesigned News Services databases, users can click on the News Services Cross-Search feature located on the Available Databases Portal Page. Users will be directed to a page where they may search any combination of authorized News Services databases (by selecting or deselecting the check-boxes, entering a search query and clicking GO). All authorized News Services databases will then be cross-searched, and results will be displayed in separate labeled tabs. The All Results tab gives the complete list, and clicking on any result will allow you to view appropriate content in a new window.

Users may also use the Advanced Search to conduct a search across multiple News Services databases. Simply click on the Advanced Search link under Search Options and, from the Advanced Search page, use the “Search Available Databases” option.

Q: How do I search across the history databases? (Relevant only to subscribers to two or more reference history databases)

A: Click on the History Database Search link at the top of the page. You will be directed to an alternate basic search page. A list of the history databases you have access to will appear. By default, all will be checked off. Deselect any database that you would like to exclude from your search. Finally, type your search query in the search box and click Go. A list of all available history records will be displayed.

Q: What are Learning Centers? (Relevant only to subscribers of our reference history databases)

A: Learning Centers provide highlighted entries, selected by our editors, on key people, events, topics, and primary sources to help guide users in their research. They also provide quick links to maps and charts, as well as images and videos on the topic of that Learning Center. Learning Centers serve as a starting point for research and as an aid for teachers in the creation of lesson plans.

Q: What are the News Services Curriculum Tools?

A: Each of the News Services databases include a Curriculum Tools section that includes supplementary features that help students and educators get the most out of database’s core content and tie it into the learning process.

Students can find special guides to researching major topics in the news, past and present, and to using their findings in assignments. Educators will find a wide variety of creative classroom activities and homework assignments, as well as helpful teaching aids.

A: To access our databases, you must have an internet-accessible PC or Macintosh computer. On Macintosh computers, we recommend using Safari 1.3 or higher. On PCs, we recommend Internet Explorer 6.0 or higher or Firefox 1.5 or higher. Some entries may require Adobe Reader, version 6.0 or higher. Adobe Flash and/or Windows Media Player may be required for some databases. We recommend Windows Media Player 9.0 or higher. Cookies must be enabled to access Facts On File's online databases.

Q: What are the Facts On File requirements for remote patron authentication?

A: A Remote Patron Authentication system is used to authenticate users by verifying the electronic address of the institution's secured page(s) and placing the URL(s) under the account. All activity deriving from a certain page is then able to go directly into the Facts On File database. Subscribing institutions must provide the IP address(es) or URL(s) for their RPA server in order to set up an RPA system for remote access.

Q: What are the Facts On File requirements for username/passwords?

Please note, it is in violation of our policy to publicly post the username and password for any Facts On File database. This has the potential to allow unauthorized individuals to gain access to our resources. In such cases, we ask you to have the username and password removed from the public web site immediately, and contact your online sales representative to arrange for a new password. If the situation persists, we will contact you and automatically change your password to protect our database from unauthorized access.

Q: Once remote access is established, will our proxy server IP address(es) be enough to allow access to Facts On File?

A: Yes, Facts On File offers pre-authenticated URLs capable of searching across each online database. Used in tandem with federated search technology, all Facts On File databases can be searched simultaneously. A: Yes, our 13 reference databases are compliant. Q: How do I print a Facts On File record?

A: A print icon is located at the top of a record detail page in most of our databases. Clicking this icon opens a printable version of the record being viewed. For best results, we recommend printing the PDF file for those images where it is offered. For records that open Adobe Reader, the print icon is located at the left side of the toolbar at the top of the screen.

Q: How do I email a Facts On File record?

A: An icon labeled "Email" can be found at the top right of a record detail page in most of our databases. Clicking this icon brings up a window asking for an email address. Type in a valid address and the current page will be sent to it. Please use commas to separate multiple email addresses in the reference databases. Please use semi-colons to separate multiple email addresses in the News Service databases.

Q: How do I save a Facts On File record?

A: An icon labeled "Save" appears at the top right of a record detail page in most of our databases. Clicking this icon will save the entry to your folder, found in the top right corner of the screen. Be aware that unless you have created a "My Folder" account and logged into your folder, your saved entries will be erased when you close your browser.

Q: What is "My Folder"?

A: Facts On File has created a "My Folder" option in most of our databases that allows users to save entries over long periods of time in one easy and convenient location.

Q: Why would I create a folder?

A: Creating a folder allows you to save your entries over long periods of time. Teachers can save curriculum-related materials including, but not limited to, records, experiments, charts, graphs, and maps. If you do not have a folder, your saved entries will be erased after you close your browser window.

Q: How do I create a folder?

A: Click on the database link of your choice. At the top of any page within most databases, click the "Folder Log In" link. A box will appear prompting you for an email address and password. Click on the "Create New Account" link in the lower right-hand corner. Fill in the email address, password and re-enter password fields and then click on "Create." Facts On File does not share any "personally identifiable information" about individuals, such as names or email addresses. See below for folder login instructions.

Q: How do I log into my folder?

A: Click on the database link of your choice. At the top of the page within most databases, click the "Folder Log In" link. A box will appear prompting you for your email address and password. Once you have properly filled out these fields, click the Login button. 

To access saved items within your folder, scroll to the top right of the page. You will find a "Saved Items" link in most of our databases that allows you to view your folder's saved items.

Q: Once I create a folder, can I log into Facts On File's online database from an alternate location?

A: Please note, the “my folder” username and password is not a substitute for a Facts On File database username and password. If you are logged into the Facts On File database from an alternate location, you will be able to log into your “my folder” account as well.

Q: What is Browsealoud? 

A: Browsealoud is an industry-leading solution for speech enabling web sites. When enabled, it speaks web site content aloud and improves accessibility for those in need of assistive technology.

Enable Browsealoud technology in conjunction with your Facts On File News Services databases to provide assistance to a broad range of visitors. Browsealoud may be of most benefit to those who: have low literacy skills, speak English as a second language, have dyslexia or other learning challenges, or have mild visual impairments.

Q: How do I use Browsealoud? 

A: To begin using this powerful assistive technology, available to you at no extra cost, click here to download http://www.browsealoud.com/page.asp?pg_id=80096. (NOTE: A new window will open up, taking you to the Texthelp Systems Inc. web site. Browsealoud is a small plug-in application published by Texthelp Systems Inc., and is not a program or publication of Facts On File News Services.)

A series of prompts will guide you through the installation process. Once downloading and installation is complete, you should see a little blue icon that looks like a target with a check mark on the bottom right portion of your toolbar. If you are in a Browsealoud enabled web site, such as Facts On File News Services, a check mark will appear over the icon, letting you know Browsealoud has been activated. You can then guide your mouse over the words on our web site and Browsealoud should begin speaking the words aloud.

Q: Why can't I access Facts On File's online databases?

A: There are several possible reasons:

1. It is possible that some of your registration details are incorrect on our account records. If your institution's IP address(es), library barcode sequence, referring URL details, or the username and password that you use to access Facts On File are incorrect in our subscriber database you will not be able to access the site. Once you have checked whether your subscription details are correct, please contact us.

2. Facts On File is a subscription web site and is only available to subscribers. Your institution may have been accessing a trial and access may have expired. To subscribe to the service, please call us at 1-800-322-8755, or email us at onlinesales@factsonfile.com. Institutions located outside of the U.S. should call 1-212-896-4268. If you are a student, please contact your librarian or media specialist.

Q: Why don't I receive search results when I conduct a search in one of the online databases?

A: There are several possible reasons:

1. You may have misspelled the item you are searching for.

2. You may have used an alternate spelling or variation of the one our database uses (this may be especially true of foreign terms or proper names).

3. You may have pasted in a term with an accent mark. Try again without the accent.

4. The record may not exist in our database.

A: If you receive an error message regarding your username and password, you may have entered the wrong details. Please try again or contact us for help. Remember, only account administrators can reset passwords. If you are part of an institution or library, please see your librarian or administrator for help.

A. If you are prompted for a username and password when you access the Facts On File web site, the IP address/range provided and currently registered is outdated. We will troubleshoot and verify that your IP address/range is registered with Facts On File. Q: Why am I receiving the following error message: "Authentication Error: No Matching Accounts Found?" 

A: The access URL is incorrect. Please verify that the link listed on your library web site matches the link provided in the subscription welcome email sent by your sales representative. Alternatively, please contact us at support@factsonfile.com or call 1-800-322-8755, ext. 4230. Institutions located outside of the U.S. should call 1-212-967-8800, ext. 4230.

Q: How do I import your MARC records? 

A: When you click on the links provided for our MARC records, do not open the files; instead please download them to a findable place, then open your MARC software and import them to view the records. 

Please note, we have included persistent links to our databases in the 856 field that allow for general authorized access; your institution, however, may want to update that field with the access link(s) provided to you in subscription and access confirmation emails. This will allow your library to better control how users access your Facts On File subscriptions. Once downloaded, there is no need to update the MARC records on a regular basis.
